Actually, that's not really the case! In fact, to put it into context there are only 15 Fridays until Christmas! Are you panicking yet?

If that's thrown you into flummox, then take a deep breath and relax. Whilst it might only be 15 weeks until Christmas, there is still plenty of time to get basic housekeeping in order.

Many of our customers are businesses that offer services or products where demand peaks at a certain time of the year: ice, tourism, garden maintenance, catering, tax reporting to name just a few. As we approach the end of the year, there are many of you who will be (or should be) starting to think ahead if you haven’t already done so!

Look back!

The past is often a great indication of the future! Look back on previous years’ orders and requirements. Chances are they will be similar to what will be needed this year. Top that off with a quick call to your customers and establish what their upcoming needs might be. Be proactive! By updating your system based on your customers’ needs, you’ll be smiling when others are in a frenzy.

Stock up!

Leaving it until the last minute to stock up on product could result in loss of sales. Some customers may be a bit more organised and place orders early and if you don’t have what they need, they may go elsewhere. Having adequate stock – based in principal on what has been bought in previous years - means that you can enter the busy season with a peace of mind that there’ll be no last-minute scrambling to fill orders.

Lose the paper!

Stop using spreadsheets to keep track of critical data! Doing this is a recipe for disaster. Spreadsheets accidently get deleted, altered or not properly saved, or data is incorrectly entered? Or the data is correct, but you don’t actually know where the stock is stored. Technology has come so far and now we are able to take orders, pick stock, update new prices and stock options, establish run lists, and transfer information to our accounting system at the touch of a button on your handheld device!

And, whilst we’re on the paper issue…if your sales reps are still taking orders manually, then STOP them! Paper is easily lost; the data is unreliable, and in the end very antiquated! If you want to be taken seriously by your customers, then you need to move into the 21st century! Other than a satisfied customer, there’s nothing better one that praises you to others for excellent service.

Update your systems – now!

Don’t wait until things start to get busy to update your software, your accounting system, your computer, your handheld devices, your printers…shall I go on? Now is the time to take stock of what is needed in terms of an efficient system so that you don’t end up with an inoperable system when you are under the pump. And whatever you do, do not update or move your accounting system when you are running at full steam!
